VMV Green BV values your privacy. In this policy we explain which personal data we collect when you visit our website or contact us, why we do so, how long we keep it and what rights you have.

1. Who is responsible for your data?

VMV Green BV is the controller of the personal data processed through this website and in the course of our services.

We have not appointed a data protection officer. For any questions about this policy, please contact info@vmvgreen.be.

2. What data do we collect?

2.1 Data you provide to us yourself

When you fill in our contact form, call us or email us, we process:

• your first name and surname
• your email address
• your telephone number
• the subject on which you would like information
• the content of your question
• where applicable, the name of the person or company that referred you to us
• the municipality where the project is located

If you become a customer, we additionally process:

• your billing and installation address
• data about your home and your electrical installation needed to draw up an accurate quotation (roof type, orientation, available space, existing installation)
• your annual energy consumption, if you provide it to us
• your EAN number and meter number, where needed to register your installation
• your billing and payment details
• your national register number or date of birth, solely where a grant or certification file requires it

2.2 Data collected automatically

When you visit this website, technical data is processed such as your IP address, browser type, language setting, the pages you visit and the time of your visit. You can read more about this in our cookie policy.

2.3 What we do not collect

We do not process special categories of personal data (such as health data or political or religious beliefs) and we do not target minors.

3. Why do we process your data?

We never use your data for automated decision-making or profiling that produces legal effects for you.

4. With whom do we share your data?

We never sell your data. We only share it with parties that help us deliver our services, and only to the extent necessary:

• Cloudflare, Inc. — hosting of this website and delivery of its pages
• Zoho Corporation — our CRM system for customer follow-up and quotations, and our email
• Our own customer portal (on our own server) — this is where your request via the contact form arrives, and from here we send you the confirmation and at most two reminders to schedule a site visit yourself. If you book an appointment, it is recorded here as well.
• Atlassian (Trello) — follow-up of incoming requests until they are in the CRM
• Google (Calendar) — our calendar, in which a site visit you book is entered with your name and contact details
• Teamleader — quotation and invoicing software, including electronic signature via CloudSign
• Our accountant — for the legally required bookkeeping
• Accredited inspection bodies — for the legally required inspection of your installation
• Your distribution system operator (Fluvius) and, where applicable, your energy supplier — for registering your installation
• Suppliers and subcontractors — solely the data they need to deliver or install
• Our insurer and, in the event of a dispute, our lawyer — only where necessary

We conclude a data processing agreement with every processor that processes data on our behalf.

Some of these parties may process data outside the European Economic Area. In that case, this is done on the basis of an adequacy decision of the European Commission or of the European Commission’s standard contractual clauses.

5. How long do we keep your data?

After these periods, your data is erased or anonymised.

6. How do we secure your data?

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. In practice this includes encrypted connections (HTTPS), two-step verification for access to systems, and access to your file only for those who need to work with it professionally.

Do you nevertheless notice a problem, or suspect that your data is not secure? Please let us know at info@vmvgreen.be — we treat such a report as a priority.

7. What are your rights?

You have the right to:

• request access to the data we process about you
• request rectification of inaccurate or incomplete data
• request erasure of your data, insofar as we are not legally required to keep it
• request restriction of processing
• object to processing based on our legitimate interest
• have your data transferred in a common digital format
• withdraw your consent, where the processing is based on it

You exercise these rights by emailing info@vmvgreen.be. To avoid providing data to the wrong person, we may ask you to prove your identity. We will reply within one month.

You can always stop commercial messages via the unsubscribe link at the bottom of such a message, or by sending us an email.

8. Lodging a complaint

If you are not satisfied with how we handle your data, please let us know first — we prefer to resolve it directly. You also always have the right to lodge a complaint with the supervisory authority:

9. Changes to this policy

We amend this privacy policy when our working methods or the regulations give reason to do so. The date at the top indicates when the latest change was made. In the event of significant changes, we will actively inform our customers.
